For management companies

The rental program your boards keep asking for, without adding staff

RentTrac360 finds the rentals in each community, verifies them with the owners, keeps leases and the registry current, and prepares enforcement on each state's timeline. Your managers handle only what needs a person.

01

What your team gets

  1. 01

One queue of what needs a person today

Detection, owner verification, and document collection run on their own. Leases are checked against each community's leasing rules and approvals that meet them go through on their own. Your managers see only the exceptions: a disputed record, a lease that misses a rule, a decision for the board.

  2. 02

A monthly report for every board

Each association gets a board-ready report with its verified rentals, cap status, new listings, ownership changes, and priority actions. No one on your team has to build it.

  3. 03

Charges your accounting system can take

Billing is per verified rental, per association, itemized. Owner charge files are generated per association, so leasing fees reach the right ledger without rekeying.

  4. 04

Each state's enforcement clock, built in

Notices, cure windows, hearings, and the records behind them follow the rules of the state the community sits in, so the file behind every fine is complete.

03

Why boards say yes

Boards want their leasing rules enforced, but nobody on the board wants to run the program. When it runs through RentTrac360, routine leases and approvals go through on their own, and the board decides the exceptions and reads a monthly report. The program cost is billed per verified rental, owner-occupied homes are never billed, and many associations recover it through a leasing fee charged to the owners who rent. Their HOA attorney confirms what the documents allow.

About two-thirds

fewer board volunteer hours on the rental program, by our estimate for a small community

From a task-by-task estimate we prepared in 2026 for a Georgia board of a community under 100 homes: about 105 volunteer hours in the first year running the rental program in-house, about 37 with RentTrac360 running it. The estimate assumed the board still read every lease and voted on every approval, so it doesn't count the time automatic lease checks and approvals save. An estimate, not a guarantee—hours scale with your community's size and rental count.

Built around your state's rules

Every state decides what an association has to prove before a rental rule holds up. Our guides lay out the statutes and the records each one requires, with a printable board checklist for each state.
